In this post, I’m pulling back the curtain and giving you a behind the scenes look at how I organize all of my files, and is meant to save time and energy as a new traveler. I’ll tell you our system for logging, managing, and keeping track of our licenses and CEUs, housing options, work expenses, utilities, and so much more.

Compliance folder

Each time you start a new assignment or switch companies, there is a list of paperwork that you need to provide. Instead of searching for it all over your computer each time, keep in in one spot, and send them the entire folder. I call this a “Compliance Folder” because that’s what the department within the recruiting company that is in charge of gathering all this information from you is usually called.

A compliance folder is a collection of all documents that recruiting companies & facilities may need from you for new assignments. It usually consists of IDs, licenses, immunizations, etc. Bring it to the facility on the first day. This way, if they need anything, you have it. Trust me, you will make the facility and employee health nurses really happy when you have this information readily available for them.

Keep a hard copy in a binder AND electronic copy. Use google docs or Dropbox to easily send it to new companies that you work with. It makes the process of switching companies a lot smoother- you can just send them everything they may need in one email!

Tips:

  • Update your resume after EACH assignment.
  • Use spreadsheets to track licenses, renewals and requirements for each, CEUs, Utilities, Housing, etc.
  • Managing multiple licenses can get overwhelming. Put reminders on your calendar and in your phone reminders to renew licenses, in addition to maintaining the spreadsheet mentioned above.
